Privacy notice

This notice explains how Sellwood Homes Ltd handles personal information collected on the LandlordMinder website: the waitlist, and the free registration window checker.
Who we are
Sellwood Homes Ltd is the controller. Company number 15918200, registered in England and Wales. Registered office: The Archive Centre, White Cliffs Business Park, Honeywood Road, Whitfield, Dover CT16 3EH.
We are registered with the Information Commissioner's Office, reference ZC284335.
To ask for your data, correct it, or delete it, email privacy@sellwoodhomes.co.uk or write to the registered office, marked for the Data Protection contact.
What we collect
If you join the waitlist, we collect:
- your email address
- a band for how many properties you have (1, 2 to 10, 11 to 25, 26 to 50, 51 to 100, or 100 or more)
- whether you are a landlord or a letting agent
- the time you gave consent
- which form you used
- the property postcode and matched region, if you asked for a reminder from the checker
We do not ask for tenant names, certificate files, bank details, or a copy of your passport on this site.
We use your IP address only to limit repeated form submissions. The IP address is kept in memory for a short time and is not written into the waitlist record.
Why we use it
The lawful basis is consent (UK GDPR Article 6(1)(a)). We use the details to tell you when LandlordMinder opens, and to send a reminder about a registration window if you asked for one from the checker.
We do not sell the list. We do not send it to GOV.UK, MHCLG, or your local council.
The consent box is not ticked for you. You can withdraw consent at any time by emailing us or writing to the registered office. We will then delete the waitlist record, unless we have to keep a short note of the request itself.
The postcode checker
When you check a postcode, that postcode is sent to postcodes.io (opens in a new tab) so we can read the country, region and council name. We do not send your email address to postcodes.io. If you then join the waitlist from that result, we store the postcode and region with your email so a later reminder can name the right window.
The checker does not submit anything to the Register your rental property service. There is no government API for that service.
How long we keep it
We keep a waitlist record until you unsubscribe, ask us to delete it, or we no longer need it to tell you about LandlordMinder. We aim to delete waitlist records within 24 months of the last email about the waitlist if you have not become a customer. We may keep a minimal record of consent or of a complaint for as long as we need it to show that we acted lawfully.
Who processes it
On a development machine, signups are stored in a local SQLite file or a JSON file on that machine. In production we switch the store with an environment variable. The production options are Supabase (Postgres) or a Resend audience. The host that serves the site (for example Vercel) also processes the request so the form can be saved.
Those providers act on our instructions. If a production store is hosted outside the United Kingdom, we will update this notice with the provider and the country before that store is used for real signups.
Your rights
You can ask us to:
- confirm whether we hold your information, and for a copy of it
- correct it
- delete it
- restrict how we use it
- provide it in a portable form
- stop using it, including by withdrawing consent

Cookies
This site does not use analytics cookies or advertising cookies. It does not ask you to accept a cookie banner because we are not setting those cookies.
Children
LandlordMinder is for landlords and letting agents. It is not aimed at children.
Changes
If we change what we collect or why, we will update this page and the date at the top. If the change affects people already on the list, we will email them where we still have a lawful reason to do so.
